Although conferences and meetings have the ability to be great business tools, they’re typically viewed as things you have to do but wish you didn’t. You can make more of them, however. Rather than being dreaded, they can actually be looked forward to.
One of the most important things is to have a planned agenda and stick to it. Make sure everyone coming has the agenda ahead of time so that they can be prepared. You may even want to give them assignments so that they have to put some thought and energy into it.
Having the conferences located in a place other than the office can also be helpful. Just by altering the location, people tend to pay more attention. Wherever you pick should be set up properly for these kinds of events, with all the elements necessary for working comfortably. If you are having a conference which will last more than one day, you might want to pick a location that’s convenient to get to but not too close to an area that will encourage people to run out and play.
Another method of engaging people is by offering them some kind of refreshment. This is especially important in morning meetings where the addition of coffee and danish can make a huge impression. Catering these events makes them seem more like perks.
Being able to include multimedia can also be a big plus for getting and keeping people’s attention. Instead of only having speakers, slide shows and videos can be included to make it more interesting. If appropriate, guest speakers can also be useful, particularly if they are able to be humorous.
If done right, conferences and meetings can be things that employees look forward to. With good planning ahead of time, like picking the proper location, your employees may end up wanting to be invited to attend.
